The Opportunity

 

The Department of Parliamentary Services (DPS) is recruiting for a Parliamentary Service Level 5 (PSL5) Senior Event Coordinator within the Commercial Operations branch.

 

Australian Parliament House (APH) Canberra is the meeting place of our nation and is one of our nation's most iconic buildings. The iconic building welcomes over 725,000 visitors each year including some 127,000 school children. It is home to some 1,300 people working across the building, rising to more than 3,500 people on sitting days and peaking at around 10,000 people in the building on the busiest day of the year each Budget Day.

 

The APH Catering and Events Team delivers high quality food and beverage services to building occupants and visitors that showcase products of the local region and position APH as a destination of choice. Services will be delivered through a range of venues.  The successful applicants will have professional experience in the delivery of events, ideally in a multi-faceted venue and, preferably within high quality and high capacity venues.

 

Who we are looking for

 

The Catering and Events Team is seeking an energetic and highly professional Event Coordinator who is ready to play a pivotal role in delivering exceptional catering and event experiences at Australian Parliament House. This is an opportunity to step into a fast‑paced, high‑profile environment where your expertise will directly shape the success of events attended by national and international guests.

 

The successful applicant will have demonstrated experience coordinating end-to-end events, managing logistics and bookings, and working collaboratively with a wide range of stakeholders in a fast-paced and high-profile environment. The role requires strong organisational skills, attention to detail, sound judgement, and a commitment to delivering consistent, high-quality customer service. Experience in events, catering, hospitality, or venue operations, particularly within complex or high-volume environments, will be highly regarded.

Duty Statement

Under limited/general direction undertake duties in accordance with the agreed standards for the specified classification. The duties will include, but are not limited to, the following:

  1. Manage and deliver event and catering services at Australian Parliament House through a high standard of food and beverage service across all outlets and event venues to a wide range of stakeholders, including parliamentarians, departments, corporate clients, professional conference organisers, visitors, and the general public.

  2. Manage and oversee all sales enquiries and bookings, maintaining the integrity of data within the event booking system and ensuring all financial and administrative processes comply with DPS policies and procedures, while providing advice to clients on event solutions.

  3. Lead end-to-end coordination and delivery of events and logistics, including developing proposals, managing stakeholder expectations, resolving complex issues, and working closely with back-of-house and operations teams to ensure seamless execution, accurate invoicing, and post event-evaluation.

  4. Monitor and maintain service standards and procedures, driving continuous improvement initiatives to enhance service delivery, customer satisfaction, and compliance.

  5. Develop and maintain stakeholder relationships, providing advice, information, and solutions on event venues and catering services, and applying knowledge of contemporary hospitality trends to support innovation.

  6. Undertake and coordinate administrative and reporting functions, including analysising event performance and contributing to operational planning and decision-making.

  7. Support and guide team members, including coordinating workflows, providing on-the-job assistance, and contributing to a collaborative and high-performing team environment.

Selection Criteria

 

  1. Demonstrated experience supporting or coordinating events or hospitality services, including managing enquiries, bookings, and event delivery.

  2. Ability to communicate effectively and build positive working relationships with a range of internal and external stakeholders.

  3. Strong organisational and administrative skills, including attention to detail and the ability to manage multiple priorities.

  4. A customer-focused approach with the ability to deliver professional, high-quality service.

  5. Ability to work collaboratively as part of a team and adapt to changing operational requirements.

Salary

 

Currently, the salary range for this position is $92,450 - $99,185 per annum.

 

Conditions of Employment

 

Employment opportunities at the department are subject to a range of conditions prescribed in the Parliamentary Service Act 1999 which include:

 

  • Australian citizenship: Section 22 of the Parliamentary Service Act 1999 requires that employees of the Parliamentary Service are generally required to be Australian citizens. However, if you are not an Australian citizen you may be considered for engagement on the condition that you are able to gain Australian Citizenship within a specified time. Failure to obtain citizenship within the timeframe could lead to termination of employment.

  • Loss and resumption of Australian citizenship: Under historical provisions of the Australian Citizenship Act 1948 (section 17), some Australian citizens automatically lost their citizenship if they voluntarily acquired the citizenship of another country between 26 January 1949 and 3 April 2002. This loss occurred by operation of law and may not have been known to the individual at the time. Although these provisions were repealed in 2002 to allow dual citizenship, the repeal did not restore citizenship that was previously lost. Individuals who believe they may be affected are recommended to seek advice about resuming their Australian citizenship. Further information, is available on the Department of Home Affairs website.
    • Applicants who progress to the offer stage with our department who have been affected by the loss of citizenship as outlined above will be required to demonstrate within a reasonable time that they have resumed, or are actively undertaking the process to resume, Australian citizenship.

  • Security clearance and character clearance: the preferred applicant will be required to obtain and maintain a security clearance at the level specified, as well as complete and be deemed suitable through a Nationally Coordinated Criminal History Check.

  • Health assessment: a pre-employment health assessment will be required where there are physical or medical requirements for the role.

  • External Work Approval: Employees must seek approval for any paid employment outside the department and declare voluntary activities that could impact their role.
