The Opportunity

 

The Department of Parliamentary Services (DPS) is recruiting for an ICT Administration Officer within the Information Services Division (ISD). This role supports Parliamentarians, Former Prime Ministers and Parliamentary staff through the administration of ICT work expenses, ICT equipment allocations and related governance processes, ensuring compliance with relevant legislation, policies and parliamentary frameworks.

 

The Digital Customer Services Branch provides a range of client-facing and operational support services to Parliamentarians, their staff and the parliamentary departments. The branch is responsible for administering ICT services, equipment, work expenses and support arrangements, while ensuring compliance with relevant legislation, policies and governance frameworks.

 

The ICT Administration Officer is responsible for providing advice and administrative support to assist Parliamentarians and their staff in managing ICT equipment and entitlements under the work expenses framework. The role focuses on the accurate administration of requests, reporting, record keeping and client support while delivering a high standard of customer service.

 

The ICT Administration Officer provides guidance on governance and administrative processes, prepares and maintains reports, manages records and databases, ensures accurate data entry, responds to client enquiries and works closely with a range of stakeholders. The role also supports front-of-house services through a client-facing enquiry counter.

Our ideal candidate will have strong client service, negotiation and relationship management skills, excellent attention to detail and a commitment to accuracy. They will have experience administering business processes, managing competing priorities, maintaining records and databases, and interpreting policies and procedures. Strong teamwork, analytical and problem-solving skills, together with the ability to work with minimal supervision, are essential. 

 

This position will suit candidates who are proactive, adaptable and professional, with a demonstrated commitment to accuracy, discretion and confidentiality.

 

Working Arrangements

 

This role involves regular face-to-face interaction with clients, stakeholders and team members and therefore requires attendance in the workplace for the majority of working days. During the initial training period, the successful applicant will be expected to work predominantly from the office. Following completion of training and demonstration of competency in the role, flexible working arrangements may be available, including a regular work-from-home arrangement of up to one day per week, subject to operational requirements and supervisor approval.

Duty Statement

 

Under limited/general direction undertake duties in accordance with the agreed standards for the specified classification. The duties will include, but are not limited to, the following:

 

1.    Provide analysis and advice to assist parliamentarians and their staff in understanding and managing ICT equipment in line with the ICT Allocation Policy and other relevant policies.

 

2.    Coordinate with operational ICT Hardware and logistics teams to deliver ICT equipment refresh programs for parliamentarians’ offices, including asset record updates, delivery, installation, and disposal activities.

 

3.    Contribute to continuous improvement initiatives to enhance ICT asset management processes and client service delivery.

 

4.    Support the DPS Corporate Plan and the Australian Parliament Digital Strategy 2023–2027, including contributing to team deliverables and strategic outcomes aligned to organisational priorities.

 

5.    Deliver personalised ICT solutions tailored to the current and future needs of each office, identify opportunities for improvement, and support stakeholders through change.

 

6.    Administer ICT equipment across Parliamentary Departments in accordance with relevant policies, procedures, and governance requirements.

 

7.    Prepare and publish reports on telecommunications expenditure, adjustments, and usage for parliamentarians and their staff.

 

8.    Undertake additional tasks, as directed, to support the efficient and cost-effective delivery of services.

Demonstrated ability to prepare reports, briefs, correspondence, process documentation and procedural guidance, communicate complex information clearly and concisely, and tailor written communication to meet the needs of different audiences.

 

6. Eligibility and Security Requirements

 

Australian citizenship.
Ability to obtain and maintain a Negative Vetting Level 1 (NV1) security clearance.

Salary

  

 

 

Currently, the salary range for this position is $92,450 - $99,185 per annum.

 

Conditions of Employment

Employment opportunities at the department are subject to a range of conditions prescribed in the Parliamentary Service Act 1999 which include:

  • Australian citizenship: Section 22 of the Parliamentary Service Act 1999 requires that employees of the Parliamentary Service are generally required to be Australian citizens. However, if you are not an Australian citizen you may be considered for engagement on the condition that you are able to gain Australian Citizenship within a specified time. Failure to obtain citizenship within the timeframe could lead to termination of employment.

  • Loss and resumption of Australian citizenship: Under historical provisions of the Australian Citizenship Act 1948 (section 17), some Australian citizens automatically lost their citizenship if they voluntarily acquired the citizenship of another country between 26 January 1949 and 3 April 2002. This loss occurred by operation of law and may not have been known to the individual at the time. Although these provisions were repealed in 2002 to allow dual citizenship, the repeal did not restore citizenship that was previously lost. Individuals who believe they may be affected are recommended to seek advice about resuming their Australian citizenship. Further information, is available on the Department of Home Affairs website.
    • Applicants who progress to the offer stage with our department who have been affected by the loss of citizenship as outlined above will be required to demonstrate within a reasonable time that they have resumed, or are actively undertaking the process to resume, Australian citizenship.

  • Security clearance and character clearance: the preferred applicant will be required to obtain and maintain a security clearance at the level specified, as well as complete and be deemed suitable through a Nationally Coordinated Criminal History Check.

  • Health assessment: a pre-employment health assessment will be required where there are physical or medical requirements for the role.

  • External Work Approval: Employees must seek approval for any paid employment outside the department and declare voluntary activities that could impact their role.
